Library Terms and Conditions

SUAD Library complies with the UAE Personal Data Protection Law and internal privacy policies. Personal data collected will be used solely for membership processing and library services, protected by industry-standard security measures. Data will not be shared with third parties except as legally required or for payment processing under strict confidentiality.


  • Membership Period: Valid from 01 Jan to 31 Dec every year.
  • External membership fee: Free for one year (valid until 31 Dec); renewable annually. Fee subject to change at SUAD’s discretion.
  • Grace period of 1 week is allowed to renew the membership upon expiry.
  • Refundable deposit: AED1,000. This fee is used as a caution deposit to deduct from should the user accumulate any overdue fine or lose borrowed books and do not pay the dues on time.
  • Borrowing privileges: 4 books for 14 days; renewable once, if not reserved by other users. Members can browse the borrowable collection from here.
  • Access details to the membership account page will be sent separately to registered email address.
  • Access to the Library databases on campus.
  • Adult members (18+) may also borrow books from the curated children’s collection for use by their dependents or relatives. 

  • Members who wish to cancel their membership will have to submit their cancellation application online.
  • After verifying that there are no outstanding dues, a clearance certificate will be issued to the member and communicated internally to the SUAD Finance team. Upon their approval, the refund shall be collected by the members.
  • SUAD reserves the right to withdraw from this external membership provision, and members will be notified in advance via email should there be a decision on this direction.
  • Fines for overdue or lost books must be settled before renewal; if user do not renew membership, outstanding fines will be deducted from the deposit.
  • Deposit validity: Membership is valid for 1 year; users notified 1 month before expiry to update deposit status. Should any user do not renew their membership, their deposit is claimable up to 1 year from the membership expiry. Unclaimed deposits beyond 1 year of membership expiry will be forfeited.
  • Should a user accumulate any fines relating to Overdue, loss of books, or non-returning of the book for a period until their membership renewal date, all the outstanding dues will be deducted from the deposit. SUAD reserves its rights not to renew the membership of such users.
  • Finance processes the AED 1,000 deposit refund to the member only via bank transfer and it takes maximum of 10 working days. An overseas bank charge of AED 131.25 (Vat inclusive) will be deducted if the provided bank account is Non UAE bank. 

  • A fine of 5 AED per day per item.  
  • The maximum overdue fine for each item is 100 AED.  
  • Overdue fines are as follows, and they are counted as the first day after the due date: 
  • Automatic notices are sent from the library system, to remind users of the checked-out books, due   dates, overdue, long overdue, and other notices, as per the below:  
  • Reminder: 2 days before the due date.  
  • 1st overdue notice: 1 day after the due date.  
  • 2nd overdue notice: 7 days from the 1st overdue notice.  
  • Long overdue notice: 30 days from the due date.  
  • If an item is long overdue and is not returned, the user will not be allowed to borrow until the item is returned, or a replacement cost is settled. The suspension alert will be sent to the long overdue user.  
  • Users are responsible for all library materials checked out to their account and for any suspension, whether they received the notices or not.  
  • the repayment cost of a lost or damaged book will be the price of the book, plus an admin fee of 50% of the book price. The borrower’s account will be blocked and borrowing privileges suspended until the repayment has been made.  
  • The payment should be done at the Finance Department. 
  • The user account will be unblocked upon receipt of proof of payment. 
  • The library will keep a record of the lost book. If further losses should occur, the person’s account will be permanently suspended. 
  • A lost or damaged book can also be replaced by the user 
  • The user has the right to raise concerns about any unusual situation, and the SUAD library team will promptly investigate and address the issue according to the policies.  
  • VAT: All fees except the deposit are VATable. 

  • Access to the campus will be granted by security personnel by verifying your membership card and its validity.
  • Campus access is granted to external SUAD Library members only during the working hours of the library.
  • It is the responsibility of the members to ensure they bring their membership card when visiting the SUAD Library.
  • Users are required to punch-in and punch-out using the appropriate access measurement system at the reference desk in the ground floor of the library.
  • Car parking is based on first-come, first-availability basis, and external users are required to use non-designated parking lots in front of the library block.
  • This membership grants access solely to the library facility and campus restaurants. 

By submitting a form, the user confirms that he/she:


  • Have read, understood, and agree to the SUAD Library membership rules.
  • Will follow the borrowing policies and the SUAD Library Code of Conduct.
  • Acknowledge that SUAD is not responsible for personal property.
  • Indemnify the library against liabilities arising from my usage.
  • Agree to return recalled books within 2 working days for SUAD stakeholder use.
  • Understand that borrowing is limited to the French Literature & Children's Collection, with rare/costly items excluded from lending.
  • Understand that any act of vandalism or damage to library property is subject to sanctions as outlined in applicable SUAD policies and relevant UAE legislation.
  • Accept that any disputes will be subject to UAE law under the exclusive jurisdiction of Abu Dhabi courts.
